Custom Fields User Permissions

You must grant the appropriate Custom Fields User Permissions to the administrators who are responsible for creating custom fields. You can grant all Custom Fields-related permissions by granting the Manage Custom Fields User Permission, or you can grant or deny specific Custom Fields-related sub permissions as needed.

On the ControlPanel:

Click

on the Users menu to expand it.

Click Users.

Collapsed Search for the users for whom you want to manage permissions.

Filter	Description
Usernames Beginning With	Click the first letter of a username or [0-9] to display all usernames beginning with the option you selected. You can also click [Show All] to display all Users.
Field(s) Containing	Type a Username, First Name, or Last Name, or any combination of the three. You can also type partial usernames, first names or last names if you are unsure of the exact spelling or if you want to broaden your search.
Users with Status	Select one or more of the following check boxes to search for usernames by status. The more check boxes you select, the broader your search. Denied Access - Users whose access to the LearnCenter is denied because they have not been approved by an Administrator. They can only access the LearnCenter when an Admin approves them. Pending Approval - Users who are awaiting approval to use the LearnCenter. Approved - Users who have been approved to use the LearnCenter Approved Users can access the LearnCenter. Removed - Users who have been removed from the LearnCenter. Disabled Access - Users who are approved, but who failed logging in multiple times, based on the settings for the LearnCenter password lockout feature. They cannot access the LearnCenter until an Administrator removes the lockout flag on their User accounts. Note: See Customizing the Login Lockout Feature for additional information on setting up the Login Lockout feature. If you do not select any of the check boxes, the search is performed on Users of all statuses except Removed. If you do not select any of the check boxes, the search is performed on Users of all statuses except Removed.
*User Group	This field displays if you are using the classic Groups functionality. You can search for users who are part of groups. Select (highlight) the group name in User Group box. If you want to further filter by sub group, click Sub Groups and then select the sub group name in the box. Click Show Users to display the members of this group in the User List.
*Groups	This field displays if you are using the Dynamic Groups functionality. The search text box has a limitation of 100 characters. The default number of Groups displayed in the drop-down list is limited to 50. Type a partial name in the search box and select the Group you want from the drop-down list. Notice that the unique Group Code is listed next to the Group Name in the list.
Display	Decide how many results you want to display on the page and select it from the Display drop-down list. The default number of records displayed on the page is 50. You can change this by selecting a different number from the Display drop-down list. You can display up to 1000 records.

Click

in the Actions column next to an Admin.

Click

next to Manage Custom Fields to expand the list of permissions.

Click the check box next to a permission to grant it to the Admin.
or
Clear the check box to deny the permission to the Admin.

Click Save.

If you are using the classic Groups functionality that was available prior to LearnCenter release 14.6, the permissions marked with an asterisk (*) will become available when you migrate to the new Groups functionality.

Manage Custom Fields

Grant this User Permission to any user responsible for creating custom fields. This permission is typically granted to System Admins involved in setting up the LearnCenter configuration options.

Add Course Custom Fields

Enables users to add custom fields for use with courses. If you deny this permission, users will not be able to add custom fields for use with courses.

Add ILT Session Custom Fields

Enables users to add custom fields for use with ILT events. If you deny this permission, users will not be able to add custom fields for use with ILT events.

Add Chat Room Custom Fields

Enables users to add custom fields for use with chat rooms. If you deny this permission, users will not be able to add custom fields for use with chat rooms.

Add eCommerce Custom Fields

Enables Admins to add eCommerce custom fields in the eCommerce Custom Fields page. If you deny this permission, Admins will not be able to add eCommerce custom fields.

Add Electronic Signature Custom Fields

Enables Admins to add electronic signature custom fields. If you deny this permission, Admins will not be able to add electronic signature custom fields

Add Enrollment Custom Fields

Enables users to add custom fields for use with enrollments. If you deny this permission, users will not be able to add custom fields for use with enrollments.

Add Forum Custom Fields

Enables users to add custom fields for use with forums. If you deny this permission, users will not be able to add custom fields for use with forums.

*Add Group Custom Fields

Enables Users to add custom fields for use with Groups. If you deny this permission, Users will not be able to add custom fields for use with Groups.

Add Job Profile Custom Fields

Enables users to add custom fields for use with job profiles. If you deny this permission, users will not be able to add custom fields for use with job profiles.

Add Training Offerings Custom Fields

Enables Users to add custom fields for Training Offerings. If you deny this permission, Users will not be able to add custom fields for Training Offerings.

Add Instance Custom Fields

Enables users to add custom fields for use with instances. If you deny this permission, users will not be able to add custom fields for use with instances.

Add User Custom Fields

Enables users to add user custom fields. If you deny this permission, users will not be able to add user custom fields.

Add Virtual Event Custom Fields

Enables users to add custom fields for use with virtual events. If you deny this permission, users will not be able to add custom fields for use with virtual events.

Add Roster Custom Fields

Enables Users to add custom fields for Rosters. If you deny this permission, Users will not be able to add custom fields for Rosters.

Add Learning Plan Custom Fields

Enables Admins to add Learning Plan Custom Fields. If you deny this permission, Admins will not be able to add Learning Plan Custom fields.

Edit Course Custom Fields

Enables users to edit course custom fields. If you deny this permission, users will not be able to edit course custom fields.

Edit ILT Session Custom Fields

Enables users to edit ILT session custom fields. If you deny this permission, users will not be able to edit ILT session custom fields.

Edit Chat Room Custom Fields

Enables users to edit chat room custom fields. If you deny this permission, users will not be able to edit chat room custom fields.

Edit eCommerce Custom Fields

Enables Admins to edit eCommerce custom fields in the eCommerce Custom Fields Detail page. If you deny this permission, Admins will not be able to edit eCommerce custom fields

Edit Electronic Signature Custom Fields

Enables Admins to edit electronic signature custom fields. If you deny this permission, Admins will not be able to edit electronic signature custom fields.

Edit Enrollment Custom Fields

Enables users to edit enrollment custom fields. If you deny this permission, users will not be able to edit enrollment custom fields.

Edit Forum Custom Fields

Enables users to edit forum custom fields. If you deny this permission, users will not be able to edit forum custom fields.

Enables users to edit user custom fields. If you deny this permission, users will not be able to edit user custom fields.

Edit Virtual Event Custom Fields

Enables users to edit virtual event custom fields. If you deny this permission, users will not be able to edit virtual event custom fields.

Edit Roster Custom Fields

Enables Users to edit custom fields for Rosters. If you deny this permission, Users will not be able to edit custom fields for Rosters.

Delete Chat Room Custom Fields

Enables users to delete chat room custom fields. If you deny this permission, users will not be able to delete chat room custom fields.

Delete eCommerce Custom Fields

Enables Admins to delete eCommerce custom fields in the eCommerce Custom Fields Detail page. If you deny this permission, Admins will not be able to delete eCommerce custom fields.

Delete Course Custom Fields

Enables users to delete course custom fields. If you deny this permission, users will not be able to delete course custom fields.

Enables users to delete virtual event custom fields. If you deny this permission, users will not be able to delete virtual event custom fields.

Enables users to view chat room custom fields. If you deny this permission, users will not be able to view chat room custom fields.

View eCommerce Custom Fields

Enables users to view eCommerce custom fields in the eCommerce Custom Fields page. If you deny this permission, users will not be able to view eCommerce custom fields.

View Course Custom Fields

Enables users to view course custom fields. If you deny this permission, users will not be able to view course custom fields.

View Electronic Signature Custom Fields

Enables Admins to view electronic signature custom fields. If you deny this permission, Admins will not be able to view electronic signature custom fields.

View Enrollment Custom Fields

Enables users to view enrollment custom fields. If you deny this permission, users will not be able to view enrollment custom fields.

View Forum Custom Fields

Enables users to view forum custom fields. If you deny this permission, users will not be able to view forum custom fields.

*View Group Custom Fields

Enables Users to view custom fields for use with Groups. If you deny this permission, Users will not be able to view custom fields for use with Groups.

View ILT Session Custom Fields

Enables users to view custom fields for ILT sessions. If you deny this permission, users will not be able to view custom fields for ILT sessions.

View Job Profile Custom Fields

Enables users to view job profile custom fields. If you deny this permission, users will not be able to view job profile custom fields.

View Training Offerings Custom Fields

Enables Users to view custom fields for Training Offerings. If you deny this permission, Users will not be able to view custom fields for Training Offerings.

View Instance Custom Fields

Enables users to view instance custom fields. If you deny this permission, users will not be able to view instance custom fields.

View Learning Plan Custom Fields

Enables Admins to view Learning Plan Custom Fields. If you deny this permission, Admins will not be able to view Learning Plan Custom fields, nor will they be able to add, edit, or delete them.

View User Custom Fields

Enables users to view user custom fields. If you deny this permission, users will not be able to view user custom fields.

View Virtual Event Custom Fields

Enables users to view virtual event custom fields. If you deny this permission, users will not be able to view virtual event custom fields.

View Roster Custom Fields

Enables Users to view custom fields for Rosters. If you deny this permission, Users will not be able to view custom fields for Rosters.
