Adding New Custom Fields

LearnCenter includes a standard set of data collection fields for Users and various learning objects such as Courses, Classes, Enrollments, Chat Rooms, and Electronic Signatures. However, your organization may need to collect information that is not currently supported by the standard fields available in LearnCenter. LearnCenter enables you to add custom fields for this purpose. You can add custom fields for the following. LearnCenter object types.

The first time you visit this page, one blank field is available for you to begin. By default, the field type is a text box, but you can select another type from the New Field drop-down list in the Edit panel. You can also add more than one field at a time by clicking Custom Field in the Custom Fields panel as many times as you need. Also, notice that in the Preview panel of the page you can see an example of how your field will look.

Text Boxes

A text box is a simple field in which you can type text only. Text Box is the default setting for the New Field drop-down list.

If you want to add a custom text box, follow these instructions to complete the other fields that display in the Edit panel.

Click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenters.
or
Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Only Custom User Fields can be shared with other Sub-LearnCenters. Other types of Custom Fields cannot be shared. They must be created individually in each sub LearnCenterin which you want to use them.

Type the Horizontal Sizing of the text box. Maximum of 9999 characters allowed.
Type the Vertical Sizing of the text box.

The Horizontal and Vertical Sizing text boxes can have a limit of up to 99 lines of text. If you do not enter a number of lines, 0 is the Default. Scroll bars appear when the entered numbers of lines exceed the defined Vertical Sizing.

Type the Minimum Length for the text box. This is the minimum number of characters you want to allow Users to type in this field (0 means no minimum).
Type the Maximum Length for the text box. This is the maximum number of characters you want to allow Users to type in this field (250 maximum).

The maximum length of a User custom field is 250 characters. This limitation is set by the database.

Custom User fields can only be used in reports added in that LearnCenter (not in other LearnCenters).

Select one of the following for Input Limitation:

No Limitation - Users can type any type of text.
Alpha-numeric - Users can type alpha or numeric characters in this field.
Numeric - Users can type only numeric characters in this field.
Numeric with Decimal - Users can type numeric characters with a decimal in this field.

Type the Default Value, if any, to appear the first time a User sees the text box. If a User does not type information in this field, the default value will already be selected.
(Optional) Click Custom Field and repeat these steps to add another field.
Click Save Information.

Password Fields

A password is a word or string of characters used for authentication, to prove identity, or gain access to an area or page. For a custom password field, Users can type anything, but they will see “=” for each character they type.

If you want to add a custom password field, follow these instructions to complete the other fields that display in the Edit panel.

In the Custom Fields panel, type the label you want to display next to the password field in the Name field
Click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenters.

Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Type the Size of the password field This is the number of characters that will be visible on the page.
Type the Minimum Length for the password field. This is the minimum number of characters you want to allow Users to type in this field.
Type the Maximum Length for the password field. This is the maximum number of characters you want to allow Users to type in this field.
Type the Default Value, if any, to appear the first time a User sees the password field. If a User does not type information in this field, the default value will already be selected.
(Optional) Click Custom Field and repeat these steps to add another field.
Click Save Information.

Drop-Down Lists

A drop-down list is a field from which Users can select from several options you provide. Use this type of field for places where you want to restrict Users enter to just a few options.

If you want to add a custom drop-down list, follow these instructions to complete the other fields that display in the Edit panel.

In the Custom Fields panel, type the label you want to display next to the drop-down list in the Name field.
In the Edit panel, click the Show <Select One> as first option check box if you want the first option read as “<Select One>”.
Click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenter.

Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Click Add an Option to add the first option you want to display in the to the custom drop-down list. Additional fields display.

Select a number from the drop-down list to indicate the order in which you want the option to appear in the drop-down list.
Type the name of the Option as you want it to appear in the drop-down list. Maximum of 255 characters allowed.
Click the Make this the default option button if you want this option to be automatically selected as the default item in the list. This is useful if this is the option you think Users will select most often.
Repeat these steps until you have added all options for the drop-down list.
(Optional) Click Custom Field and repeat these steps to add another field.
Click Save Information.

List Boxes

A list box is a scrolling list from which Users can select from several options you provide. Use this type of field for places where you want to restrict Users enter to just a few options.

If you want to add a custom list box, follow these instructions to complete the other fields that display in the Edit panel.

Type the Size. This is the number of options that will be visible to the User. Scroll bars appear to access options out of this range. If no size is specified, the list will default to the number of options added.
Click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenters.

Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Click Add an Option.

Select a number from the drop-down list to indicate the order in which you want the option to appear in the list box.
Type the name of the Option as you want it to appear in the list.
Click the Make this the default option button if you want this option to be automatically selected as the default item in the list. This is useful if this is the option you think Users will select most often.
Repeat these steps until you have added all options for your list box.
(Optional) Click Custom Field and repeat these steps to add another field.
Click Save Information.

Check Boxes

Check boxes are a short grouping of available options, each next to a square box that Users can click to select. Use check boxes for places where you want to restrict Users enter to just a few options.

Check boxes are useful when you want to give Users the ability to select more than one option at a time. If you only want Users to select one item from the group, use radio buttons instead.

If you want to add a custom checkboxes, follow these instructions.

In the Custom Fields panel, type the Name for the grouping of check boxes you are creating. For example, Dog Breeds. You will add the associated check box options for the grouping in another step.

If you want to add a custom check box, follow these instructions to complete the other fields that display in the Edit panel.

In the Edit panel, click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenters.

Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Click Add an Option. Additional fields display.

Select a number from the drop-down list to indicate the order in which you want the option to appear in the grouping.
Type the check box label in the Options field. This is the label that will display next to the check box on the page. For example, if Dog Breeds is the name of the grouping, your first option may be Labrador Retriever.

You may also want to include check boxes for Poodle, Lhasa Apso, and Cavalier King Charles Spaniel.

Click Add an Option as many times as necessary to add additional check boxes, and repeat the previous steps to number and label them.
Click the Make this the default option button next to a check box if you want it to be automatically selected as the default item in the grouping. This is useful if this is the option you think Users will select most often, or if you want to ensure that a selection is made regardless of whether Users visit this field.
Click Save Information.

Radio Buttons

Radio buttons (also referred to as "option buttons") are short grouping of available options, each next to a circle that Users can click to select. Use radio buttons for places where you want to allow Users to select only one item from a group of pre-determined items you provide.

In the Custom Fields panel, type the Name for the grouping of radio buttons you are creating. For example, Highest Education Level. You will add the associated radio button items for the grouping in another step.

If you want to add a custom set of radio buttons, follow these instructions to complete the other fields that display in the Edit panel.

Click Add an Option.

Select a number from the drop-down list to indicate the order in which you want the option to appear on the page.
Type the radio button label in the Option field. This is the label that will display next to the radio button on the page. For example, if Highest Education Level is the name of the grouping, your first option might be High School.

You may also want to include radio buttons for College, Masters, and PhD.

Click Add an Option as many times as necessary to add additional radio buttons, and repeat the previous steps to number and label them.

Click the Make this the default option button if you want this option to be automatically selected as the default item in the list. This is useful if this is the option you think Users will select most often, or if you want to ensure that one selection is made regardless of whether Users visit this field.
Click the Share this field with sub LearnCenters check box if you want to make this field available to all of your sub LearnCenters.
or
Clear the check box if you do not want to make this field available to all of your sub LearnCenters.

Repeat these steps until you have added all of your radio buttons.
(Optional) Click Custom Field and repeat these steps to add another field.
Click Save Information.
